Executive Administration Many problems can be encountered while performing its function or in businesses on a daily basis. It is possible to analyze the types of problems in four categories.
- Issues where quality matters more than adoption.
- Issues where adoption matters more than quality.
- Issues where both adoption and quality are of paramount importance.
- Problems where acceptance and quality are not important
Let us now examine these types of problems separately.
1. Problems where quality is more important than adoption:
These are the types of problems where the success of the solution depends on logic and objective data, for example, expanding the company building, re-determining profit margins…
Such problems can be solved by consulting with specialists.
2. Issues where adoption matters more than quality:
These are issues where adoption matters a lot and quality matters little. Distribution of something desirable or undesirable according to the principle of equality is one such problem. For example, the distribution of annual leaves, overtime hours.
A low level of adoption decision that can be taken while solving such problems may lead to failure.
In the face of such problems, the most effective solution will be to make the most effective decision as a result of group discussions by the leader.
During the discussion, the leader should remain as neutral as possible, and after presenting the problem to the group members and making the necessary explanations, he should not go beyond providing communication between the members and making summaries from time to time. It is also important to remember to remain impartial.
3. Issues where both adoption and quality are of paramount importance:
In solving such problems, it is necessary to rely on both objective data and personal feelings. Decisions about regulating absenteeism, tardiness, customer relations, and changes in the current work flow can be examples of this issue.
Problems in which both adoption and quality are important can be solved in two ways, in which the leader will use his different abilities. In one of them, the leader decides himself. It also tries to ensure acceptance with the power of persuasion. In others, decisions are made by the group. Meeting leadership skills, which will be discussed below, are used to achieve the qualification. A higher quality decision can be taken by making use of the meeting leadership skills and the good ideas that came out at the time.
4. Issues where neither the quality nor the adoption matters:
The best way to solve such problems is to set some rules. Thus, it is ensured that both the group and the administrator do not waste time. For example; Determining the colors and brands of the items to be requested to the department.
Studies show that the adoption of most of the problems faced by managers is more important than the quality, or both the adoption and the quality are in the category of problems. In such problems, participatory approach and group decisions can be recommended. Decisions made with a participatory approach are more effective than the solutions that the manager can reach alone.
The effectiveness of group decisions can be attributed to the following reasons:
- The total amount of information possessed by all members of a group is much greater than the total information of any member or even the manager in that group.
- Increasing the belief of each member that they can contribute and develop their values by freeing them from their obsession with ideas,
- Members feel the responsibility of complying with the decision as they have a share in the decision making; increasing the bindingness of the decision,
Due to the diversity of opinions, it is certain that opposing views will be voiced in meetings, the chances of adoption increase as long as the leader sees the disagreement as a source of new ideas and opinions rather than a problem or a challenge.
Protecting and preventing the oppression of those who advocate minority ideas during the negotiations can enable them to express their views and influence the majority. This positively affects the quality of the decision to be made.
As a result of these discussions, some people’s opinions may change. It doesn’t matter whose opinion changes. The quality can improve if people who deal with destructive criticism change their minds. The opposite happens when people with constructive ideas change.
